On Campus Student Employment

The Work Study program gives students the opportunity to earn money for school and build valuable skills and experience, working on-campus jobs that fit around a busy academic schedule. Bethany also offers the Swedes@Work EBE program, which is similar to Work-Study, but with the added benefit of earning course credit while you work. Federal Work Study

The Federal Work Study Program provides jobs for undergraduates with financial need, allowing them to earn money to help pay education expenses. There are Work Study jobs in nearly every department on campus at Bethany.

  • Work Study offers flexibility to work on campus while improving your skills and experience. Work Study may also help you build valuable references for your full-time job search.
  •  In order to determine eligibility, you must first complete the FAFSA and all steps required for eligibility of aid at Bethany College.
  • If you have unmet financial need and are enrolled for at least six credit hours, you may apply for employment on campus through the Federal Work Study program. You may obtain an application from the Office of Career Services.
  • Federal Work-Study is a need-based program. Not every student is eligible.
  • Although there are many job opportunities on campus, jobs must be obtained by the student directly. Obtaining a position is a competitive process, much like any job search process. Contact Career Services for resume writing, job searching, and interviewing tips.

Institutional Work Study

Institutional Work Study funds are used when a department seeks to hire non-Federal Work Study eligible students.

 

  • Only some departments have budgets for Institutional Work Study—not all job opportunities will hire non-Federal Work Study students. Contact a department directly about working as an Institutional Work Study worker.
  • The application materials and employment paperwork are the same for Institutional and Federal Work Study positions.

Work Study FAQ

  • What is the Hiring process?

    1. Stop by Student Development to grab an application form and discuss possible openings on campus.
    2. Go see the Director of Financial Aid in Presser Hall to check your Federal Work Study Eligibility.
    3. Email supervisors you are interested in working for and set up a meeting (Denise Carson/Library, Kevin McCoy/Cafeteria, etc.).
    4. If the supervisor is interested in hiring you, he/she/them will sign off on your application.
    5. Once your application has been signed by the supervisor who plans on hiring you and your FWS eligibility has been verified, take your application back to Student Development to discuss the onboarding process in paylocity and give you step by step instructions on how to complete it.
    6. Once you have completed the onboarding process in paylocity, you and your supervisor will get an email of approval that you can start working.

  • Rules for Working On-Campus

    • Students must check eligibility for Federal Work Study before seeking openings.
    • Students must be enrolled in 6 or more credit hours.
    • To work during a summer semester, students must be enrolled in 6 or more credit hours in the following fall.
    • Students graduating in May can work through June 30 of the same year.
    • Students cannot have Satisfactory Academic Progress (SAP) issues.
    • Students have their own wage allocation for the school year, and the budget is set by the Financial Aid Office.
    • If a student works in multiple separate departments during a school year, his/her allocation remains the same and is divided between the departments.
    • Students can work up to 20 hours/week, as long as the budgets are monitored by student and supervisor (29 hours/week during summer term). Students cannot work more than 8 hours/day. 30 minute breaks are allowed for 6, 7, or 8 hour days.
    • Human Resources creates employee profiles for each new student employee. The eSwede timecard will appear within days of completing the work study application process. Both student and supervisor will receive a confirmation email from Career Services when work may begin. Do not begin working before receiving confirmation—you are volunteering your time and cannot be paid without employee status.
    • eSwede timecards are due the last day of the month. Students are paid monthly on the 15th day of the month. Students are paid Kansas minimum wage: $8/hour, with exception of a few positions.
    • Students must record their work hours daily and finalize on the last day of the month. Finalizing the timecard forwards it for approval to the supervisor, who then has 3 days to review and approve. Once the student finalizes the timecard, he/she loses the ability to go back and edit. It is best practice for the student to enter hours worked daily and for the supervisor to review weekly. Click here to learn how to log hours on your timesheet.
    • Students cannot work during class hours or Chapel. If this mistake occurs, the supervisor must document a reason with the CFO. Students/Departments with repeated logging errors could have their funds removed.
  • Supervisor & Work Site Rules

    • Departments are responsible for monitoring both their departmental budget AND each student budget. If a student works and earns his/her entire allocation, then either (1) the student must stop working, (2) the student may request more award from the Financial Aid Office, or (3) the department will need to request IWS funds from their Cabinet representative.
    • Departments are assigned their FWS/IWS budgets before the start of the new school year. This budget is separate from the student’s assigned budget. At the discretion of the department’s Cabinet representative, budgets may be adjusted.
    • Students are paid monthly on the 15th day of the month.
    • Students cannot work during class hours or Chapel. If this mistake occurs, the supervisor must document a reason with the CFO. Students/Departments with repeated logging errors could have their funds removed.
